Saving Searches and Creating Alerts


Ebsco provides e-mail alerts based on searching criteria that you specify or complete table of contents and links to article of any designated journal, which can greatly benefit professors in their research. Instructions on how to do this are as follows:

Before starting any alerting services you must set up a personal “My Ebsco” account.

Setting Up a Personal Account

With a personal account, you can:

To set up a personal account:

Click the Sign In link.

  • The Sign In Screen appears.
  • Click the Create a New Account Screen appears.
  • Fill in the fields on the Create a New Account Screen. When you have completed the fields, click Save Changes and then Continue.
  • You should note the user name and password you created so you can log in at a future session.
  • If you have forgotten your password , you can submit your user name to retrieve your password.

Saving a Search as an Alert

To save a search as an alert:

  • Conduct your search. Refine your search criteria until you get the appropriate search language.
  • From the Advanced Search Screen, with your Search History listed, click Save Searches/Alerts. The Saved Search/Alert Screen appears.
  • (If you have not already logged into your personal account, you will be prompted to log in. Enter your user name and password; or click Cancel and return to the Advanced Search Screen.)
  • To save the search as an Alert that can be automatically run, click Alert. The Save Alert Screen appears. The search name, description and date created are displayed.
  • To run the Alert against a different database, select the database from the drop-down list.
  • To select how often the search will be run, from the Frequency drop-down list, select one:
  • Once a day
  • Once a week
  • Bi-weekly
  • Once a month (the default)
  • To limit which articles are searched, from the Articles published within the last drop-down list, select one:
  • One month (the default)
  • Two months
  • Six months
  • One year
  • No limit
  • In the Run Alert for field, select one:
  • One month (the default)
  • Two months
  • Six months
  • One year
  • In the E-mail Properties section, to be notified by e-mail when your alert runs, select the E-mail Notification field.
  • In the E-mail Address field, enter your e-mail address. If you want to enter multiple e-mail addresses, place a semicolon in between each e-mail address.
  • In the Subject for E-mail field, enter a brief explanation that will appear in the subject line of the Alert e-mail.
  • Select if you want the e-mail in Plain Text or HTML format.
  • To have your search string included in the e-mail, click Include query string in e-mail.
  • When you have finished making changes, click Save.

Setting Up a Journal Alert (Table of Contents)

To set up a journal alert:

Search for your journal name using the publications search tab.

Find the journal title you desire and click on that link.

From the title's Publication Details Screen, click the Journal Alert link.

(If you have not already logged into your personal account, you will be prompted to log in. Enter your user name and password; or click Cancel to return to the Publication Overview Screen.)

The Journal Alert Screen appears. The Journal Alert name, Date Created, and Database name are automatically filled in.

In the Run Alert for field, select how long the journal alert should run:

  • One month (the default)
  • Two months
  • Six months
  • One year

In the E-mail Properties section, to be notified by e-mail when a new issue is available, click the E-mail notification field. Select if you want the e-mail in ASCII or HTML format.

To have your search string included in the e-mail, click Include query string in e-mail.

Select whether you want the e-mail to include a link to the journal table of contents or links to individual articles.

Accept the default subject line or enter new information in the text entry field.

In the Addresses field, enter your e-mail addresses. if you want to enter multiple e-mail addresses, place a semicolon in between each e-mail address.

When you have finished making changes, click Save. You will be returned to the Publication Details Screen. A message is displayed that indicates a journal alert has been set for the publication.
